Understanding US Passport Basics and Types

A US passport is an official travel document issued by the US Department of State that proves your citizenship and identity to other countries. It allows you to travel internationally and serves as one of the most widely recognized forms of identification in the world. The passport system in the United States has been operating since 1856, and today millions of Americans hold passports for business travel, leisure, and personal reasons.

The US government issues several types of passports, each designed for different travel situations and age groups. The most common is the passport book, which is the standard document most people use for international travel. This booklet contains 28 pages in the regular version and 52 pages in the passport book with extra pages. The passport card is a smaller, wallet-sized alternative that works for travel to Canada, Mexico, Bermuda, and the Caribbean by land or sea, but it cannot be used for air travel internationally.

Age matters significantly in the passport system. Children under 16 years old must obtain a passport book or card, and these passports have a validity period of five years rather than ten. For applicants aged 16 and 17, a passport book is valid for five years. Adults 18 and older can obtain a passport book valid for ten years or a passport card valid for ten years. Gender markers have also become more flexible, with the State Department now offering an X marker for those who do not identify as male or female.

Understanding these distinctions helps you determine which document type matches your travel plans. If you frequently fly internationally for work or vacation, a passport book provides the most flexibility. If your travel is limited to nearby countries by car or cruise ship, a passport card offers a convenient, less expensive option. Knowing your options before beginning the process means you can request the right document from the start.

Practical takeaway: Determine whether you need a passport book, card, or both based on your planned destinations and travel methods. Check the validity period that applies to your age group so you understand when you might need renewal in the future.

The Application Process: Where to Start

The process of obtaining a passport begins with understanding where and how to submit your paperwork. The US Department of State accepts passport requests through several official channels. You can visit a passport acceptance facility, which includes post offices, libraries, and municipal government offices throughout the country. According to State Department data, there are over 9,000 passport acceptance facilities across the United States, making it relatively convenient to find a location near you.

If you already hold a passport and need to renew it under certain circumstances, you may be able to renew by mail without visiting a facility in person. Mail renewal is available for passport books that are not damaged and were issued when you were 16 or older. If your passport was lost, stolen, or damaged, or if it was issued before your 16th birthday, you must appear in person at a passport acceptance facility.

You can locate your nearest passport acceptance facility by visiting the State Department's official website or calling 1-877-487-2778. The State Department recommends calling ahead to confirm hours, learn about wait times, and understand whether appointments are required or accepted on a walk-in basis. Some facilities require you to book an appointment, while others operate on a first-come, first-served basis. A small number of passport agencies throughout the country accept appointments for expedited service, though these are typically reserved for travelers with urgent circumstances.

The facility staff will review your documents to ensure you have submitted all required paperwork correctly. Common mistakes include submitting unsigned applications, using expired identification, or providing photos that do not meet specifications. Having staff review your materials before you submit them prevents delays that can occur when incomplete applications are returned to you for corrections.

Practical takeaway: Locate your nearest passport acceptance facility and call ahead to learn about hours, appointment availability, and specific document requirements. Having this information before gathering your materials saves time and prevents wasted trips.

Required Documents and Identification

Submitting the correct documents is essential for a successful passport request. The State Department requires specific forms depending on whether you are obtaining a passport for the first time, renewing an existing passport, or replacing a damaged or lost document. Form DS-11 is used for new passports and replacements, while Form DS-82 applies to renewals by mail, and Form DS-64 is specifically for reporting a lost or stolen passport.

You will need to provide proof of US citizenship, which can take several forms. A certified birth certificate is the most commonly accepted document. This must be a certified copy obtained from the vital records office in the state or territory where you were born, not a photocopy or hospital-issued birth certificate. If you were born outside the US, you may provide a Consular Report of Birth Abroad (Form FS-240) or a Certificate of Naturalization. Military personnel and their family members may have additional documentation options.

Proof of identity is also required. Acceptable documents include a driver's license, state identification card, military identification, or federal employee identification. If you do not have one of these documents, you may provide other forms such as a student ID, employee ID, or passport card. The document must include your photograph and signature, with only limited exceptions for very young children or people with medical conditions preventing photographs.

A valid passport photo is mandatory. The photo must be in color, taken within the last six months, and meet specific size requirements: 2 inches by 2 inches. Your face must take up 50 percent of the photo, and you must be looking directly at the camera with a neutral expression against a white or off-white background. Sunglasses, hats, and filters are not permitted. Many passport acceptance facilities offer photo services on-site if you do not have a recent photo meeting these standards, though this adds to the cost and processing time.

You will also need to complete a signed application form in black or blue ink. The form cannot be printed in color, and it must be signed by you personally, not by a family member or attorney unless you have a guardianship situation involving a minor. For minors under 16, both parents or legal guardians must appear in person and consent to the passport.

Practical takeaway: Gather your birth certificate, government-issued photo ID, and a recent color photo meeting the 2x2 inch requirement before heading to a passport facility. Request the correct form based on whether you are seeking a new passport, renewal, or replacement to streamline your visit.

Fees and Processing Times

Passport fees vary based on the type of document and processing speed you select. As of 2024, a passport book for adults costs $130, which includes both the application fee ($110) and the execution fee ($20). A passport card costs $35, though you will also pay the execution fee, bringing the total to $55. For minors under 16, a passport book costs $105, and a card costs $40. These fees are set by federal statute and do not vary between facilities.

If you want your passport processed faster than standard processing, you can pay an additional $60 fee for expedited service. Standard processing typically takes 6 to 8 weeks, while expedited service reduces this to 2 to 3 weeks. During peak travel seasons, such as spring and summer, even expedited processing may take longer due to high application volume at the State Department. Routine processing is currently taking longer than the standard 6 to 8 weeks in many regions.

For people who need a passport within two weeks for international travel, the State Department operates passport agencies in major cities that can provide same-day or next-day service in person. However, these agencies accept appointments only, and you must demonstrate a legitimate travel need, such as proof of airline tickets with a departure date within two weeks. The fee for this emergency service is $60 in addition to passport fees and the execution fee.

Payment methods accepted at passport facilities include cash, checks, money orders, and credit cards. Not all facilities accept all forms of payment, so confirming acceptable payment methods when you call ahead prevents complications. If you mail your passport renewal, you can include a check or money order with your application. Never send cash through the mail.

Additional fees apply if you need services beyond the standard passport. Adding extra pages to an existing passport costs $82 and can be done at any passport acceptance facility. If you need to replace a stolen or lost passport, you pay the regular passport fee, not an additional replacement fee, though you must file a loss report on Form DS-64.

Practical takeaway: Budget $130 to $190
